Consent to register for the e-mail newsletter and the storage of contact data for the purpose of maintaining contacts and invitations to follow-up events.
Photos and filming during the event
During the event photos and/or filming will be taken. The recordings are used exclusively for reporting on the event as well as for public relations and will be published in print and online media of the Paderborn University. Participants of the event have the right and the possibility to inform the photographers at any time that they do not want to be photographed or that their photographs should not be published. If specific photographs of individual persons are taken, the photographers will verbally obtain permission for the recording and its use.
Evaluation sheet at the end of the event
At the end of an event, participants may be provided with evaluation forms with which they can assess the quality of the event and give suggestions for improvement as well as wishes for follow-up events. The data is requested anonymously. Even if handwritten, identifiable information is provided, an anonymous evaluation will always take place.
In addition, the following data is collected automatically

- IP address of the user, if applicable
3. legal bases
The collection of personal data during registration (form data) is based on the consent of the persons concerned in accordance with Art. 6 para. 1 letter a. EU-DSGVO which is obtained at the time of registration.
The Paderborn University collects and processes the above mentioned data necessary for the technical operation as well as log files to ensure technical security and the improvement of systems to protect legitimate interests of the University according to Art. 6 para. 1 lit. f. EU-DSGVO.
The data is required for registration and for the secure operation and optimisation of the system and is only used for the purposes stated in each case.
4. data transfer
The registration data will be made available to the organizers of the event by giving them temporary read-only access to ensure the proper organization of the event. The organizers may also be persons outside the Paderborn University. For events, the contributions of the speakers can be submitted to internal and external reviewers for the purpose of evaluation. The reviewers will be determined by the organizers.
For proper accounting, a list of participants, signed by the participants, with their surnames, first names and organizational affiliation can be sent to the sponsors of an event.
A short description of the conference with the number of participants and a general reference to the participants' organizations can be published on the Paderborn's University website.
Pictures and films will be published in print and online media of the Paderborn University as described above.
If technical service providers are given access to personal data, this is done on the basis of a contract in accordance with Art. 28 EU-DSGVO.
5. duration of processing/data deletion
The data processed within the scope of the registration and the event will be deleted or - if the data is available in the form of paper documents - destroyed in accordance with the "Retention Periods of Files of the Paderborn University" after a period of 5 years after the event.
If you have given your consent, the contact data "Title", "Academic Title", "First Name", "Last Name", "Organization", "Position", "Telephone" and "E-Mail" will be stored for the purpose of sending the newsletter and maintaining contact until revoked.
6. your rights as a data subject
As a data subject, you may at any time exercise the rights granted to you by the EU-DSGVO:
- the right to be informed whether and which of your data are being processed (Art. 15 DSGVO)
- the right to request that data concerning you be corrected or completed (Art. 16 DSGVO);
